Introduction

Mums In Marketing Ltd (we, us or our) runs a community and set of services for marketing professionals. We take the privacy of our members and website visitors seriously, and this notice explains, in plain English, what personal information we collect, how we collect it, why we collect it, how we use and protect it, who we may share it with, how long we keep it, and the rights you have.

This notice applies when you visit our website at www.mumsinmarketing.net, become a member, take part in our community, attend our events or online sessions, use our coaching or learning services, sign up to receive communications from us, or get in touch with us.

We are a UK based company, and almost all of our members are based in the UK. This notice is written with UK data protection law in mind. If you are based outside the UK, the same protections set out here apply to you.

We are the data controller for the personal information described in this notice. This means we decide how and why your information is used, and we’re responsible for looking after it properly.

The information we collect

Contact and identity information

When you register with us, use our services, join our community or get in touch, you may give us information such as:

  • your name

  • your email address and phone number

  • your postal address, where relevant

  • your job title, employer, company or business details

  • your professional interests

  • a username and account details where you create an account with us

  • your marketing and communication preferences

Membership and account information

If you become a member, we may also hold information about:

  • your membership type and status

  • your membership history

  • services, resources or content you access

  • events or sessions you register for

  • information relevant to your participation in our member community

Enquiries and correspondence

If you contact us, we may collect and retain information contained in:

  • website contact forms

  • coaching enquiries

  • partnership or sponsorship enquiries

  • emails

  • other correspondence with our team

  • information you choose to provide in free-text fields

Marketing information

If you subscribe to our marketing communications, we may hold:

  • your contact details

  • your marketing preferences

  • your subscription status

  • information about your engagement with our communications, where this is tracked

We use ActiveCampaign as our CRM and email marketing platform to help us manage subscriber information and marketing communications.

Sensitive information (special category data)

Some information is treated as more sensitive under data protection law, for example information about health, disability, race or ethnicity.

We do not routinely ask you to provide special category information. However, you may choose to share information of this nature where it is relevant to a service you are requesting. This could include accessibility requirements for online or in-person events, information relevant to coaching or learning sessions, or information supplied through questionnaires for carefully selected partners.

Where we need to process special category information, we will ensure that we have an appropriate lawful basis and additional condition for doing so under data protection law. Where we rely on your explicit consent, we will make this clear to you and you can withdraw that consent at any time.

Please only provide sensitive personal information where it is relevant and necessary for the service or support you are requesting.

Payment and transaction information

If you make a payment to us, this is handled securely by our payment provider, Stripe.

Stripe processes payment details on our behalf. We do not store your full card number or card security code ourselves.

We may retain transaction information associated with your payment, including information about purchases, membership payments, refunds, invoices and payment status, where this is required for administration, accounting and legal purposes.

How we collect your information

We may collect personal information directly from you when you:

  • complete a website contact or enquiry form

  • register for membership or create an account

  • purchase a membership, service or other product

  • make a payment

  • contact us by email or other communication channels

  • make a coaching enquiry

  • register for an event, webinar or online session

  • subscribe to marketing communications

  • participate in one of our Facebook communities

  • attend a Zoom meeting, event, coaching or member session

  • complete a questionnaire or survey

  • otherwise choose to provide information to us

We may also collect certain information automatically when you use our website through cookies and similar technologies.

In some circumstances, we may receive information about you from a third party, for example where an organisation purchases a corporate membership or where information is provided to us by an event or service partner. Where this applies, we will only use that information where we have a lawful basis to do so.

Information we collect automatically

Like most websites, ours collects some information automatically when you visit, such as your IP address, browser and device type, the pages you view, and how you interact with our site.

This helps us operate the site securely, understand how it is being used and improve our website and services.

How we use your information, and our lawful basis for doing so

Data protection law says we must have a valid reason, called a ‘lawful basis’, for using your personal information.

Sending you important updates about our services, terms or this notice
Lawful basis: To deliver our contract with you and to meet our legal obligations.

Processing payments, orders, refunds and exchanges
Lawful basis: To deliver our contract with you and meet our legal and accounting obligations.

Putting you in touch with one of our MiMs Approved Coaches, where you’ve asked us to
Lawful basis: Your consent.

Sending you marketing emails about our services, events and offers
Lawful basis: Your consent, where consent is required.

Understanding how our website, emails and services are used so we can improve them
Lawful basis: Our legitimate interest in running and improving our business. Where cookies or similar technologies require consent, we will ask for that consent separately.

Keeping our website, accounts and services secure and preventing fraud
Lawful basis: Our legitimate interest in protecting our business and members, and our legal obligations.

Meeting our legal, tax and accounting obligations
Lawful basis: To meet our legal obligations.

Protecting someone’s life or safety in an emergency
Lawful basis: Vital interests, used only in genuine emergencies.

Where we rely on consent, for example for marketing emails or coaching referrals, you can withdraw your consent at any time. This won’t affect anything we’ve already done based on your consent before you withdrew it.

Where we rely on our legitimate interests, we’ve thought carefully about this and are satisfied that our reasons for using your information don’t override your own rights and interests.

Who we share your information with

We don’t sell your personal information.

We may share personal information, where necessary, with trusted organisations that help us operate MiMs and provide our services.

These currently include:

ActiveCampaign
Our CRM and email marketing platform, which we use to manage subscriber information, marketing preferences and communications.

Microsoft 365
Used for our business email and correspondence.

Stripe
Our payment provider, which securely processes payments and associated transaction information.

QuickBooks
Our accounting software, which we use to manage our financial records, accounting information and transaction records.

Google Workspace and Google Drive
Used for business administration and secure cloud-based file storage.

Vimeo
Used to host video recordings and content, including content made available within our member content library.

Zoom
Used to provide online meetings, events, coaching, learning and member sessions and, where appropriate, recordings of those sessions.

Facebook Groups
We operate both a free Facebook community and a MiMbership Facebook group. Facebook provides the platform through which these communities are operated.

We may also use other service providers that help us operate our website, membership services, analytics, security and other business functions.

Where a third party processes personal information on our behalf, we take appropriate steps to ensure that it handles the information securely and in accordance with applicable data protection requirements.

MiMs Approved Coaches

If you’ve asked us to put you in touch with a MiMs Approved Coach, we may share your contact details and information relevant to your enquiry with the appropriate coach.

We will only do this where you have asked or agreed for us to do so.

Once your information has been passed to an Approved Coach, that coach is an independent professional and is responsible for the information they hold about you under their own privacy obligations and privacy notice.

Legal and regulatory disclosures

We may also share information with regulators, law enforcement agencies, courts or other authorities where we’re required to do so by law.

If MiMs is ever sold, merged or restructured, relevant personal information may also need to be transferred to a buyer or new owner. We would take appropriate steps to ensure your information continued to be protected.

Where we store your information

Personal information may be stored across the systems and platforms we use to operate MiMs.

These include:

  • our website and associated systems

  • ActiveCampaign for CRM and marketing information

  • Microsoft 365 for business correspondence

  • Google Workspace and Google Drive for business files and cloud storage

  • Stripe for payment and transaction information

  • QuickBooks for accounting and financial records
  • Vimeo for video and member content

  • Zoom for online sessions and recordings where applicable

  • Facebook Groups for information associated with participation in our communities

Some of these providers may store or process information outside the UK. Where this happens, the safeguards described in the ‘Sending information outside the UK’ section below apply.

Cookies and similar technologies

We use cookies and similar technologies on our website. These are small files and technologies that help our site work properly, remember your preferences and, where you agree, help us understand how the site is used and measure our marketing.

Our website may use services and technologies provided by third parties, including analytics, security, advertising and embedded-content providers.

We’ve covered cookies in detail in our separate Cookie Notice, including the cookies and technologies we use and how you can manage or withdraw your consent at any time.

Sending information outside the UK

Our servers are based in the UK. Some of the service providers we use to run MiMs may store or process information outside the UK, including in the United States.

This can include international technology providers such as ActiveCampaign, Microsoft, Stripe, Google, Vimeo, Zoom and Meta/Facebook.

Where personal information is transferred outside the UK, we take steps to ensure it continues to receive an appropriate level of protection.

Where required, this may include relying on UK adequacy regulations or approved contractual safeguards such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

How long we keep your information

We only keep your personal information for as long as we need it for the purpose for which it was collected, or where we need to retain it to meet a legal, regulatory, tax or accounting requirement.

Our current retention practices include:

CRM and marketing subscriber data – ActiveCampaign
Subscriber information is held while consent remains active. It is removed 24 months after the subscriber’s last engagement, or sooner where the person unsubscribes or makes a valid deletion request, subject to any information we need to retain to record that preference or meet a legal obligation.

Business correspondence – Microsoft 365
Business correspondence is retained in accordance with our Microsoft 365 retention settings and our ongoing business requirements.

Payment and transaction records – Stripe
Transaction records are retained for a minimum of six years in line with applicable HMRC record-keeping requirements.

Accounting and financial records – QuickBooks
Transaction and accounting records are retained for a minimum of six years in line with applicable HMRC record-keeping requirements.

Google Workspace and Google Drive
Business files are retained while they remain relevant to active work and our ongoing business requirements. Files that are no longer required should be securely deleted in accordance with our retention practices.

Vimeo
Recordings are retained while they remain relevant to our member content library.

Zoom
Recordings are retained while they remain relevant to our member content library.

Facebook Groups
Information associated with membership of our free Facebook group or MiMbership group is held while the individual remains in the relevant group. Members are removed from the relevant group when they leave or are offboarded, where applicable.

Membership and account information
We retain membership and account information while your account or membership remains active and for an appropriate period afterwards where necessary for administration, legal obligations or to deal with queries.

Enquiries and other correspondence
We retain enquiries and related correspondence only for as long as reasonably necessary to deal with the enquiry, maintain appropriate business records and meet any legal obligations.

Special category information
Where we hold special category information, we retain it only for as long as it is necessary for the specific purpose for which it was collected, subject to any legal requirements.

Once we no longer need your information, we’ll either delete it securely or, where immediate deletion isn’t possible, for example because it is contained within a secure backup, we’ll protect it from further use until it can be deleted.

We periodically review the information we hold so that personal information is not kept for longer than necessary.

Keeping your information safe

We use a combination of technical and organisational measures to protect the personal information we hold.

These include:

  • two-factor authentication (2FA) on key business platforms including ActiveCampaign, Microsoft 365, Stripe, QuickBooks Google Workspace/Drive, Vimeo, Zoom and Facebook

  • password-protected accounts

  • restricted administrator roles and access controls

  • limiting access to personal information to people who need it for their role

  • secure cloud-based platforms and storage

  • secure payment processing through Stripe

  • appropriate security measures provided by the third-party services we use

Administrator access to our Facebook communities is restricted and protected using account security measures including 2FA.

We regularly consider the security of the services we use and take appropriate steps to protect information against unauthorised access, loss, misuse or disclosure.

No system can be guaranteed to be completely secure, but we work hard to protect your information and to respond appropriately if anything goes wrong.

Children’s privacy

Our services are aimed at adults and aren’t intended for children. We don’t knowingly collect personal information from anyone under 18.

If you believe a child has given us their information, please contact us and we’ll take appropriate steps to remove it.

Your rights

Under UK data protection law, you have a number of rights when it comes to your personal information.

In short, you can ask us to:

  • show you the personal information we hold about you (sometimes called a subject access request)

  • correct any information that’s wrong or out of date

  • delete your information, in certain circumstances

  • restrict how we use your information, in certain circumstances

  • provide your information to you, or to another organisation, in a portable format

  • stop using your information where we’re relying on our legitimate interests, unless we have a compelling reason to continue

  • withdraw your consent at any time where we’re relying on consent

We’ll normally respond within one month and we won’t charge you for exercising your rights in most circumstances.

Marketing preferences

If you’ve agreed to receive marketing emails from us, you can change your mind at any time by clicking the unsubscribe link in any marketing email or by contacting us.

We may still need to send you important service-related communications, such as membership, payment, account or service updates, even if you’ve opted out of marketing.

Where you unsubscribe from marketing, we may retain the minimum information necessary to record your preference and ensure that we don’t send you further marketing communications.

Changes to this notice

We may update this notice from time to time, for example if our services, suppliers or the law change.

If we make any significant changes, we’ll let you know where appropriate, for example by email or by posting a notice on our website.
